What personal data we collect and why we collect it
“Join us” form

If your participation to the EPN is admitted, your name, email address, laboratory address, Twitter/Facebook accounts and homepage will be stored as part of the directory of the European Psychoneuroimmunology Network.

If specifically authorized, this information will also be added to the EPN website pnieurope.eu (“participants”) so as to provide a public directory of the EPN participants.

During EPN round-tables and symposia, pictures can be taken. If specifically authorized, these pictures can be published on the EPN website.

Contact form

No information from the contact form will be stored permanently, except in case of legal or security issues.

 

Who has access to your personal data

Only the members of the development team of the EPN have access to your detailed data. As of August 2018: Bianka Karshikoff, Jan-Pieter Konsman, Julie Lasselin, Christoph Rummel.

Name and email of the EPN participants are shared among the EPN participants to favor exchanges within the EPN.

 

What rights you have over your personal data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you.

 

How long we retain your personal data

The data in the EPN directory are stored indefinitely or until you request to erase these data.

The e-mail containing the data from the “join us” form (including CV) will be stored for a maximum of one year and will be erased when the data are stored in the EPN directory or if the participation is declined.

The e-mail containing the data from the contact form will be stored until the question is deemed answered or resolved.

 

How we protect your personal data

We take precautions to protect your information. When you submit information via the website, they are encrypted and transmitted to us in a secure way. You can verify this by looking for a lock icon in the address bar and looking for “https” at the beginning of the address of the Web page.

The EPN directory is stored and shared in a secure way via Box. Box is a cloud supplier used by many universities and fulfilling the security requirements for file storage, including centralized user management, SSO, encrypted storage, Personal Data Act and the Safe Harbor principles.
